Hall Rental Agreement — Terms and Conditions

This Hall Rental Agreement ("Agreement") is entered into between American Legion Lawton Post 220 aka The Depot on Main ("The Post") and the individual or organization renting the hall ("Renter"). By agreeing, the Renter acknowledges and agrees to the following terms and conditions governing use of the Post 220 hall facility.

1. Payment

The rental fee and security deposit (amounts above) are due in full at the time of booking to reserve the hall. Reservations are not considered confirmed until payment is received. Checks to be made payable to Lawton American Legion Waters-Hackenberg Post #220.

2. Cancellation and Refund Policy

  • Cancellations made 30 or more days before the scheduled rental date will receive a full refund of all fees and deposits paid.
  • Cancellations made less than 30 days before the scheduled rental date are not eligible for a refund, unless otherwise agreed to in writing by the Post.

3. Rescheduling

  • The Renter may change the rental date by providing at least 30 days' written notice prior to the originally scheduled date.
  • Rescheduling is subject to availability of the hall on the requested new date. The Post does not guarantee that an alternate date will be available.

4. Damages

The Renter is fully liable for any and all damage to the hall, its furnishings, fixtures, equipment, and grounds occurring during the rental period, whether caused by the Renter, the Renter's guests, invitees, vendors, or any other person attending the Renter's event. The Renter agrees to reimburse the Post for the full cost of repair or replacement of any damaged property in full within 30 days of the occurrence of damage. The security deposit, if any, may be applied toward the cost of damages, but does not limit the Renter's liability if damages exceed the deposit amount.

5. Liability and Assumption of Risk

American Legion Lawton Post 220, aka The Depot on Main, its officers, members, and volunteers shall not be held liable for any injury, accident, loss, or damage to persons or property occurring on the premises during the rental period. The Renter assumes full responsibility for the safety and conduct of all guests and attendees at the event, and agrees to hold The Depot on Main, and its members, harmless from any claims, liability, damages, or expenses arising from the Renter's use of the facility. Trains pass our station at speeds in excess of 100mph. The train tracks are strictly off limits and are not owned by The Depot on Main and are federal property. The Renter assumes all Liability resulting from any injury, death, or damage resulting from federal trespass of the tracks.

6. Liquor Liability and Assumption of Risk

Renter agrees that no alcohol shall be served to any person(s) under the age of 21. The Renter also assumes complete and total responsibility for any and all occurrences or accidents and agrees to hold harmless Lawton American Legion Post 220 aka The Depot on Main.

In addition to the previously stated items above in section 5, the Renter will be required to provide proof of a Liability Policy covering the property for at least $1,000,000 in Property Damage and Liability including Liquor Liability for all events including alcohol. The premise should be classified, if applicable, on this policy as “Historical” due to building type and style. 7. Premises

The Rental is for The Depot on Main’s common areas including the main hall, restrooms, kitchen and patios. “Employee only” areas of the building are off limits. Access to the back office and storage shed are named excluded zones and are not open to the public. The train tracks are strictly off limits and are not owned by The Depot on Main and are federal property with Amtrack. The parking lot is shared space with The Depot on Main and Amtrack. The renter understands that they are responsible for the parking lot and their guest at time of rental, access from the fenced off gate to the road may not be blocked at any time. The Post reserves the right to end the rental agreement with no refund should the Renter be found in violation of these Premises agreements.

8. Restrictions

  • No Smoking – No smoking inside; smoking or vaping is not permitted within 10ft of open doorways or windows
  •  No open Flames – No candles or open flames are permitted. Flames must be glass enclosed.
  • Wall Décor – No décor is permitted to be nailed, glued, taped, or otherwise adhered to ANY of the wall, trim, floor, or ceiling surfaces.
  • None of The Depot on Main’s property may be removed from the premises at any time.

9. General Terms

  • The Renter agrees to leave the hall in the same clean and orderly condition in which it was received following the guidelines and rules outlined in the Guidelines and Rules Amendum.
  • The Renter is responsible for compliance with all applicable local, state, and federal laws during the rental period.
  • The Depot on Main reserves the right to enter the premises at any time during the rental period to ensure compliance with these terms.
  • These terms constitute the standard rental terms of American Legion Lawton Post 220 and apply to all hall rentals unless modified in writing and signed by an authorized representative of the Post.

10. Acceptance of Terms

By checking the acceptance box, the Renter acknowledges that they have read, understood, and agree to be bound by all terms and conditions set forth in this Agreement.
